Position Summary:

The Agency Project Manager oversees, develops, and implements processes across the creative production department to ensure smooth operation and communication between all departments. The ideal candidate will have extraordinary project management and communication skills and possess a zeal for seeking innovation within new tools and testing new processes.

This position is required to work from our Nashville, TN office 5 days/wk. Hybrid model of 3/2 available following successful 90-day review. This position is ineligible for full-time remote work.


Job Responsibilities to include but not limited to:
  • Work as an agency project manager for external productions that have multiple components
  • Create detailed schedules and set deadlines for various stages of a project including proposal, creative development, and production execution
  • Work directly to assist show producers in developing and maintaining budgets; process and track invoicing
    • Includes working with various vendors to obtain quotes and bids
    • Compile estimated staff and freelance hours, directed by the producer
    • Work directly with the business development team to format the client-friendly budget for RFPs
    • Work with producers to format internal budget to forecast a realistic profit margin
  • Responsible for ensuring all deadlines and deliverables are met; constantly assesses contributors’ workloads and facilitates communication between agency departments including production, creative, digital, meeting services, and account services
  • Conduct regular staff meetings to review all projects in production with the creative, production, and business development teams, adjusting assignments and deadlines when needed and addressing roadblocks
  • Generate status reports and recommend process improvements
  • Work with independent contractors to ensure they have the resources needed for their positions
  • Utilize Asana project management software to distribute assignments to creative and production teams, improve team collaboration and work management, keep up with projects and deadlines, and streamline internal processes
  • Fully implement Harvest software to track actual billable hours for the production department 


  • Bachelor’s degree or equivalent experience preferred
  • Minimum of 3-5 years of experience or equivalent training in project management required


  • Experience with project management software, Asana preferred but not required
  • Experience with Microsite Office, proficient in Excel
  • Excellent problem-solving skills with the ability to envision and deliver innovative solutions
  • Exceptional analytical, planning, and organizing skills
  • Demonstrated leader with strong negotiating and delegation skills
  • Excellent oral and written communication skills and interpersonal skills
  • Strong work ethic and thrive in a fast-paced environment
  • Respects and maintains confidentiality
  • Willing to travel approximately 10-20%, working nights and weekends as needed


Environmental Conditions and Physical Demands:

Employee required to spend a portion of time in a seated position looking at a computer screen. Employee will be required to do some standing and walking. Employee will be in a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Employee must be able to lift 25 pounds.
