Position Summary:

The Production Assistant (PA) contributes to the company’s success by ensuring the Production Department operations are well supported. This includes Executive support for department leadership to include expense report preparation, calendar management, travel arrangements, and department communications. This position will also be the primary assistant and backup for the Project Manager, including PO tracking and management, data entry for project management, and time tracking organization. Lastly, this position will offer general support to producers and staff as they are traveling. This position will act as a backup to the Administrative Assistant for general office maintenance responsibilities.

 

Job Responsibilities
  • Manage and maintain SVP calendars including scheduling appointments, internal/external meetings and conference calls, and travel arrangements, including those of employees/visitors coming to Nashville
  • Maintain a timeline of deliverables and distribution of materials through email, Dropbox, Asana, and other forms of communication
  • Maintain meeting notes and contact lists
  • Assist in the preparation of presentation materials both in written and PowerPoint/Excel formats
  • Send reminders and handle all information, requests, and follow-ups to ensure effective communication with all parties involved
  • Record meeting minutes as needed to create an accurate account of the meetings and to record decisions made and assigned actions
  • Process AMEX and company expense reports for SVPs and Production leadership
  • Track, coordinate, and submit show-related invoices to accounting
  • Conserve the SVPs time by reading, researching, and routing correspondence; drafting letters and documents; initiating telecommunications, and performing shipping projects
  • Assist in the management of Asana, Harvest, staffing software, and budget tracking

 

Qualifications:
  • Bachelor’s degree from a four-year college, or equivalent experience
  • 1-2 years of event or agency experience preferred
  • Previous experience in at least one area of specialty, i.e., graphic design, print management, video, stage production, content management, or event coordination preferred

  • Proficient in MS Office Suite, Dropbox, Adobe Acrobat, and other basic software

 

Environmental Conditions and Physical Demands:

Employee required to spend a portion of time remaining in a seated position looking at a computer screen. Employee will be required to do some standing and walking. Must be able to lift 25 lbs.
