Position Summary:

The Production Assistant contributes to company success by ensuring the internal production department operations are running smoothly. This includes, but is not limited to, providing administrative and operational support to Sr. and Traveling Production Staff; assisting in special projects, organizing schedules, reconciling AMEX and expense reports, tracking, coordinating and submitting show-related invoices to accounting, assisting producers in show reconciliation, ordering office supplies, maintaining the warehouse, making or assisting travel arrangements, preparing documents and presentations. Occasionally this position will serve a primary support role in the administrative office management role on show site.

 

Responsibilities include, but are not limited to the following:

Office tasks:

  • Manage and maintain schedules, calendars, and travel arrangements; including those of employees/trainees coming to Nashville
  • Negotiate and manage corporate accounts and contracts on behalf of the company to ensure profitability and build relationships
  • Create site visit itineraries and schedules
  • Assist Producers in various tasks as assigned

 

Show Site Office Management (Occasional travel: 2-3 times a year)

  • Supervise or assist in supervision of office operations and personnel on show site
  • Support Production staff on show site as needed

 

Administrative Tasks

  • Answer the phone and field calls for Sr. Production Team
  • Coordinate group lunch orders when requested
  • Maintain all records, reports, and files for SVP Production
  • Track, coordinate, and submit show related invoices to accounting
  • Process AMEX and company expense reports for production Staff as directed
  • Conserve production staff time by reading, researching, and routing correspondence; drafting letters and documents; initiating telecommunications and performing shipping projects
  • Maintain office supplies and marketing collateral/gift/signage inventory
  • Run office related errands as assigned

 

Qualifications:
  • Bachelor’s degree or equivalent experience preferred
  • Hospitality, Live Event, or production accounting experience desired
  • Proficient in Microsoft Word, Excel, PowerPoint, Dropbox, and Adobe Programs
  • Some degree of accounting, contract negotiations, knowledge of FedEx account management and AMEX reconciliation management

Environmental Conditions and Physical Demands:

Employee required to spend a portion of time remaining in a seated position looking at a computer screen. Employee will be required to do some standing and walking. Must be able to lift 25 lbs.
